HVAC business automation:Less admin work. More time for your customers.
We help HVAC companies automate the office work around service calls: logging requests, following up on quotes, sending appointment notices and keeping your software in sync. Every shop runs differently, so we start with how yours works.
NexaDev is a general automation agency. HVAC is where our outreach starts.

A made-up shop with made-up customers. Which tools sit at each step depends on what your shop already uses.
The work between the call and the invoice.
Not every shop has all of these, and some have problems that aren't on this list. If a few sound like your week, it may be worth a conversation.

Seven places HVAC workflow automation tends to help.
These are typical starting points, not a package. Most shops need two or three of them, shaped around their own tools.
01
Service request management
Requests from phone notes, web forms, email and texts land in one place, with the address, equipment and urgency recorded the same way every time.
Often involves · Web forms, email, call notes, dispatch board
02
Quote follow-up reminders
Every open estimate has an owner and a follow-up date. If a quote sits without an answer, that person is reminded, and the reminders stop once there's a decision.
Often involves · Estimating tool, CRM, team chat
How estimate follow-up works03
Appointment notifications
Booking confirmations, day-before reminders and on-the-way notices, sent from the schedule your team already keeps, when your tools can send them reliably.
Often involves · Scheduling, email, text messaging
04
CRM integrations
Customer records, equipment history and job notes stay consistent between your CRM and the other tools that need them, instead of being copied by hand.
Often involves · CRM, field-service software
05
Invoice workflow automation
Completed jobs turn into invoices without retyping, overdue invoices prompt a reminder, and anything that doesn't match is flagged for a person.
Often involves · Field-service software, accounting
06
Internal task coordination
Parts to order, permits to file and callbacks to make become tasks with an owner and a due date, instead of notes in someone's truck.
Often involves · Task lists, team chat, calendar
07
Custom integrations with existing tools
When two systems you rely on have no built-in connection, we check their APIs and build a small connector, if your accounts allow it.
Often involves · APIs, webhooks, scheduled exports

Something else eating your office's time? Describe it. We'll tell you whether it's worth automating.
Email us about it
We work around your field-service software, not against it.
Many HVAC platforms already handle scheduling, dispatch and invoicing well. If yours covers a task and your team uses it, you don't need us for that.
Where we help is the gap around the software: requests that arrive by text or voicemail, estimates written outside it, data that has to be copied into accounting, or a report that exists but nobody is prompted to open. Before we suggest an integration, we check what your account and plan actually allow.
What we won't do
- Replace your field-service software. We work around it.
- Promise a close rate or revenue figure. We have no results from other shops to quote yet.
- Send messages to your customers without your approval.
- Claim a connection to a product before we've checked that your account supports it.
Questions HVAC owners ask.
Is NexaDev only for HVAC companies?
No. NexaDev is a general business automation and integration agency. HVAC is where our outreach starts, so this page speaks to how HVAC shops work.
Can you connect to our field-service software or CRM?
It depends on the software and your plan. Many field-service and CRM platforms offer an API or built-in integrations, and some limit them. We check what your account allows before promising any connection.
Will automated messages go out to our customers?
Only if you want them to. Many shops start with internal reminders to their own team. Customer-facing confirmations or reminders are added only with your approval and when your tools can send them reliably.
We're a small shop. Is automation worth it for us?
Sometimes it isn't. If your volume is low, a clear routine may do more than any automation, and we'll say so. It tends to be worth it when the same office tasks repeat every day or several tools hold the same information.
What does it cost?
There's no fixed price list. After a look at how your shop works, we send a written scope and price before any work begins.
